Project Coordinator
This temporary position will be a project manager for multifaceted creative projects while coordinating and supporting the administrative functions of Gladstone’s Communications Team.

Project Management Responsibilities
  • Utilizing Asana, manage the successful completion of various projects and events
  • Project manage a dozen or more projects, simultaneously, using Asana
  • Communicate effectively through the project life cycle
  • Break projects into doable actions and set timelines
  • Communicate due dates proactively across the team
  • Liaise with community members to identify and define project scope with clear purpose and goals
  • Assign tasks to community members, track, and communicate regularly on project status
  • Take meeting notes and turn them into protect action plans
  • Ensure community member’s needs are met as projects evolve
  • Monitor project progress and handle any issues that arise
Administrative Support to the Vice President of Communications
  • Schedule meetings and events
  • Reconcile monthly credit card statements 
  • Process vendor checks and update the department’s budget
  • Advise VP on project(s) progress and blockers
  • Complete purchase orders for a variety of vendors, including catering and office supplies
  • Document team procedures and processes
  • Represent VP in meetings and with written correspondence
  • Manage calendar requests and schedules meetings
  • Coordinate meeting space, securing conference rooms
Other Administrative Responsibilities
  • Serve as team liaison with various stakeholders 
  • Manage and approve event calendaring system
  • Oversee project procurement management
  • Issue all appropriate legal paperwork (e.g., contracts and terms of agreement)
  • Schedule UPS deliveries 
  • Other duties as assigned
  • Proven track record in project management 
  • Ability to self-direct and work independently 
  • Excellent analytical and problem-solving abilities
  • Effective communication and interpersonal skills 
  • Time management skills with ability to meet deadlines
  • Strong organizational skills with attention to detail
  • Experience using Asana project management software 
  • Strong interpersonal skills
  • Excellent written and verbal communication skills
  • Working knowledge of Microsoft Office Suite and G Suite
  • High speed internet, quiet work environment 
  • Your own computer set up, including video and audio capabilities

Education and Experience

Bachelor's degree in Marketing, Business, or Communications preferred

This role requests 40 hours per week commitment for 7 months. Compensation is $40/h.
